Role of the Chair of Halls

The Chair of Halls shall:

Organize and run Senator Information Sessions with the Chair of Special Interests,

  1. Communicate clearly establish objectives with the Chair of Special Interests,
  2. Promptly alert Senators of upcoming meetings,
  3. Effectively provide Senators with the information needed to represent and serve their constituencies.

Maintain communication with Hall communities of residence halls concerning Hall Senator elections, duties, and activities,

  1. Resident Constituents of Hall Senator: a) Seek involvement in hall resident activities b) Provide an outlet for hall residents to provide comments, questions and concerns when necessary.
  2. Non-Resident Constituents of Hall Senators: a)Provide guidance for Hall Senators to best represent all non-resident constituents such as housekeepers, members of facilities and management, and the like, b) Meet with housekeepers and the Office of Facilities and Management once a semester to create a forum for their concerns regarding SGA.

Coordinate Hall Senator elections and communications with halls lacking Senators,

  1. Initate elections by coordinating with the Office of Residential Life in gaining access to the List-Servers of the residents of each hall,
  2. Provide access to an accessible form for the declaration of intent to run for residents of each hall
  3. Ensure each candidate for Hall Senator meets the requirements to run,
  4. Provide access to an accessible form for residents of each hall to vote for their preferred Hall Senator candidate,
  5. Fairly facilitate the election, seeking guidance from the SGA Constitution and members of the SGA Executive Board when needed,
  6. Collaborate with the Office of Residential Life in providing each Senator with access to email their residents.

Maintain an accurate list, email list, and attendance roster of all Hall Senators and their alternates, and their respective attendance via Senate session sign-in,

  1. Collaborating with the Chair of Special Interests, achieve an accurate count of Senators,
  2. Fairly adjudicate attendance requirements, notifying Hall Senators of their attendance record when necessary,
  3. Removing Hall Senators and reopening Hall Senator elections in the case of failure to attend and properly represent hall resident constituencies.

Collaborate with the Chairs of Senate, Committees and Special Interests to facilitate a functioning Senate,

  1. Senate Team Meetings: Attend regular Senate Team meetings to establish norms, collaborate on Senate session decisions and execution.
  2. Senate Sessions: Attend Senate sessions, executing an administrative role to facilitate effective and accessible functioning.

Coordinate with the rest of the Executive Board to train and instruct the Hall Senators on their duties within the Senate,

  1. Provide effective and clear communications regarding expectations and requirements for Hall Senators,
  2. Seek input and collaboration from other SGA Executive Board members regarding the needs and expectations for and from Hall Senators.

Attend Senior Community Advisor meetings at least once a semester,

Maintain communication with Hall Senators to ensure that they are complying with their duties and to inform them of any events,

Manage Newsflush by:

  1. Collaborating with the Public Relations Officer in ensuring Hall Senators have the proper supplies to disperse information within their residential communities,
  2. Collaborating with the Public Relations Officer to create and maintain an up to date count of stalls in dorms,
  3. Collecting NewsFlushes on a regular basis and deliver them to the Hall Senators, usually at the end of regular Senate sessions,
  4. Communicating with the Archivist and the Treasurer of SGA in ordering adhesives for Hall Senators to hang NewsFlushes.

Maintain contact with the Office of Residential Life regarding the concerns of Hall Senator constituents and meet with a Residential Life officer with regularity throughout the academic year,

  1. In collaboration with the Office of Residential Life, identify who to direct each type of concern as they may arise, as well as the most efficient manner to communicate with each,
  2. Dutifully share student feedback and concerns with the Office of Residential Life, communicating results and pertinent information to the interested parties. This communication can take the form of directly emailing the individuals who raised the concern, updating the whole Senate body during Executive Board Updates, or further action in consultation with the rest of the Executive Board.
