Role of the Archivist

The Archivist shall:

Recommended Prior Experience

  1. Any position requiring strong notetaking and organizational abilities, such as note taking for classes, secretarial work, etc.

Required Skills to Successfully Fulfill Duties and Responsibilities

Keep accurate records and minutes of all meetings of the Senate, SGA Executive Board, and wherever requested,

  1. Keep electronic, typed minutes of all EBoard meetings and Senate meetings including discussion topics, action items, attendance, hyperlinking other documents, assigning actions via Google Docs, ect. in a clear and concise way that all members will be able to understand and look back on,

Be responsible for distributing accurate records and minutes of the Senate meetings to all Senators through the members of the Executive Board within the twenty four (24) hours following each Senate meeting,

  1. Send minutes to the rest of the executive board following each senate meeting or E-Board meeting with enough time for them to distribute them within 24 hours of the meeting;

Delegate individual student concerns to different members of the Executive Board

  1. This should be done in accordance with Article II Section J of the Bylaws.

In cooperation with the entire Executive Board, maintain and update the records and files in SGA Office through online and print documentation,

  1. Organize all files within the shared SGA google drive and update the drive with new folders when necessary;

Act as liaison between All Campus Elections and the Executive Board,

Sit on the Library and Information Technology Services Advisory Committee,

Preserve and archive SGA monetary records, in collaboration with the SGA Treasurer,

  1. Maintain a working relationship with the SGA treasurer and submit all monetary records created by the treasurer to the Archives,

Submit to the College Archives, by the last day of finals in the spring semester, all of the year's Senate minutes and SGA publicity,

  1. Keep an active relationship with the college archives and submit all documents from the year to the Archives electronically and printed in coordination with archive policies and SGA privacy and confidentiality guidelines;

Maintain a connection with the Archives and Special Collections to ensure consistent archiving throughout the academic year,

  1. Schedule regular meetings with the Archives and Special Collections to meet and ensure that all relevant files are being submitted to the archives within a timely manner;
