Student Org Re-Recognition Reminder & Announcements

Hello Org leaders!

We're writing to remind you about the upcoming Annual Re-Recognition deadlines and share information about training.

Re-Recognition

Visit our Re-Recognition website for details. Due dates are also listed in the right-hand column of this email. All groups must complete the following:

  • Complete your Re-Registration Form.
    • Due September 10th at 11:55pm
    • You will be prompted to complete it when you enter your group
  • RSO 101
    • Due September 17th at 11:55pm
    • Two officers need to complete and score 100%
  • DEI training, Part 1 & 2, dates TBD.
  • Update Constitution, timeline TBD.
  • Update your member roster & officers in Embark
    • Communicate to all members to log in to your group so that they can sign the Anti-Hazing Agreement when prompted

After we process the requirements for re-recognition, your organization / group will receive access to the following privileges: Use of available campus facilities and services, MHC and Embark web page, eligibility for available SGA funds, etc.

Here is our Recognition tracking sheet. Please note that while the tracking sheet is updated regularly, it is updated manually and may not reflect recent submissions, forms, and quizzes.

Storage Space Agreement

All student organizations who use storage space on campus, regardless of its location, should submit the Office & Storage Space Agreement. Signing the agreement indicates that you understand and will abide by the RSO storage policies. Storage space in Blanchard 108 is limited to groups that do not have space elsewhere on campus (Kendall, Eliot House, Res Halls, Cultural House, etc). You can review the entire policy on our website. If you currently have storage in Blanchard 108 once your form is approved, your group will receive your cabinet assignment and locker combination (this will happen the first week of classes). Please note that cabinets are shared by multiple orgs.

Training

Required for All Groups

RSO 101 - Please make sure to read the RSO 101 training presentation and take the associated quiz on our Embark website. You will be responsible for knowing and following the policies outlined there. 

DEI training & Constitution Updates - we will communicate more details in September.

Required by Groups wanting to use these resources

Financial training: Groups planning to request Ways & Means funding and use the Business Office will need to complete each training. The Treasurer and a second Authorized Signer should complete the training.
  • In-person training sessions will be announced in early September.
  • Embark financial transaction workshops will be held throughout the semester.
  • There are updated policies including: 1) a requirement to register all Fundraisers with the office and, 2) prohibition of using crowdfunding sites including but not limited to GoFundMe, FundRazr, etc.
 
Event training: Event planners should view this presentation. In-person training sessions for basic events will be offered at the beginning of each semester. 2 members should attend one of these sessions. Groups that plan to host complex events (conferences, cultural shows, parties, concerts) will receive additional support and guidance that is specific to their proposed event.
  • Events 101: Wednesday, September 13th, 6-7pm, New York Room
  • Events 101: Thursday, September 14th, 6-7pm, New York Room
Travel training: Travel requests and documentation are required if a group wants to travel more than 50 miles from the College (note that any driver(s) will need to be certified through Fleet Services) or for trips that have an overnight stay. Documents are linked to this page and travel leaders will be required to meet with the Associate Director or Director to review safety procedures.

Audition criteria is required for groups that hold auditions for membership or participation in event performances. This document can live in your group’s constitution but should also be available to share with students who are auditioning with your group.

Complete Re-Registration Form when prompted in your Embark group

After Involvement Fair & Ongoing
Update group roster and have members log in to sign Anti-Hazing Form. This should be monitored and updated on an ongoing basis.

Due September 17th

Have 2 officers complete RSO 101 Training & Quiz
 

Due October 2nd

All RSOs who use storage space on campus should submit the Office & Storage Space Agreement

Don't forget to sign up for the Involvement Fair which is being held on September 10th, 2-4pm on Abbey-Buck Green (rain location: Chapin). Sign up by September 7th.
