Hello student group leaders!

We're writing to share some important information and exciting opportunities to help you wrap up the fall semester.


Org Spotlight

The Division of Student Life is excited to feature your student organization, club sport, interest group, or RSO cohort in one of its publications: Word Out! The Dean's Corner, and/or Instagram! Complete this form to tell us about your group!

Elections, Officer Transition and End-of-Semester Tasks

Will your group transition officers this semester? Please refer to our RSO Officer Transition Checklist for guidance. We are also hosting Beyond the Ballot, a workshop on creating fair and transparent elections - Friday, November 14th, 2pm in Blanchard 213.

Register early spring travel

Is your group planning to travel early in the spring semester? Make sure that you keep the travel registration deadlines in mind:

  • All club sports and orgs wishing to travel overnight or 50+ miles away must have the required officers take the travel training once per academic year.

  • Each playing season Club Sports should update their information on the Club Sports Emergency Contacts & Roster and Club Sports Competition Schedule & Travel Form before any travel. All participating members must also sign a travel waiver. 

  • For each trip 50+ miles away or overnight, Orgs should submit the Intent to Travel form at least 3 weeks in advance and return the required documentation at least 5 days before scheduled travel. All participating members must also sign a travel waiver. 

Driver(s) will need to be certified through Fleet Services and fleet vans can be reserved on that website. Groups should also complete the Fleet Vehicle Authorization form.

ERF Closing

The last day to submit an ERF for the Fall semester is Tuesday, November 25th. If you would like to meet to discuss events for the spring 2026 semester, please email jterlisner@mtholyoke.edu to schedule an appointment.

Final payment processing for November

Please plan ahead regarding payments and reimbursements for the week of Thanksgiving break. Make purchases and submit any necessary financial transactions or reimbursement requests by Friday, Nov. 21, to ensure payment. 

Ways & Means Deadline

The deadline for January/February and spring semester funding is Sunday, December 7th at noon. Remember that you must submit applications on time and in the correct month in order for your application to be considered.

Orgs planning large events are encouraged to apply for semesterly funding. Please reach out to sgaways@mtholyoke.edu

Complete this involvement survey for a chance to win an MHC blanket. Two winners will be randomly selected and contacted on December 1.

Involvement Consultants

The Student Involvement Consultants support student organizations and offer sessions and workshops focused on training, reflection, and skill-building. Stop by their drop-in hours or mail them at involvement-consultants@mtholyoke.edu
