Hello Group Leaders,
We’re writing today with some updates and reminders:
Update your Board Contact Info!
If your group has transitioned officers this semester, please update your Embark group to ensure that your group receives important information and updates from the Office.
Please consider completing board elections and officer transition for the Fall semester before the Registration Form for Re-Recognition opens on April 22nd (you’ll receive more information about that process soon). Please refer to our RSO Officer Transition Checklist for guidance.
Speaking of elections, make sure to participate in All Campus Elections! The Intent to Campaign Form opens March 10th and polls open on April 10th. The full timeline can be found on the ACE website.
Funding and Financial Transactions
The Ways & Means deadline for April/May funding is this Sunday, March 9th at noon. All requests for April/May funding must be submitted before noon to be considered. As always, no exceptions to the deadline can be granted. The Ways and Means 2024-2025 Guidelines are in effect for all funding requests. Please read these carefully before submitting any requests.
Ordering and purchasing -- With the transition to Workday, all financial transactions need more lead time. Amazon orders take longer to arrive, and check requests must be made at least one week before the payee receives their check. Student reimbursement requests may take up to 2-3 weeks to process payment.
Nominate Students for a Leadership and Service Award!
…including Orgs! Nominations for the 2025 Student Leadership and Service Awards are now open! This is an opportunity to celebrate MHC students' and student groups’ accomplishments. Nominees may be of all class years and any recognized student organization or other student group. You may nominate yourself for an award as well! The deadline for nominations is March 10th.
MHC After Dark
Attention Student Organizations: Host a program for MHC After Dark!
MHC After Dark is a series of late-night (10pm - 12am) substance-free events to engage students after other campus events have ended. This initiative, which is brought to you by Student Engagement and Be Well, will provide your organization with everything you need to put on your program. Questions? Contact jterlisner@mtholyoke.edu or sgarijogarde@mtholyoke.edu
And check out the Student Involvement Consultants' AFTER DARK GAME SHOW NIGHT! Play Jeopardy and Grocery Bingo for fun and fantastic prizes!
Accessibility Information in Event Descriptions
Last month we sent an email explaining the new process for including accessibility information in event descriptions. Our goal is for the event descriptions to be transparent about what guests can expect at the event so students can decide if they want to participate. We would love to hear your feedback on the process and whether you think it’s addressing our goal.
Embark Group Settings
In your group settings, you can upload your constitution, and add a group email and social media links!
Navigate to your group and click on Dashboard > Settings.

A screenshot showing the Dashboard and Settings link highlighted on the Embark left-hand navigation bar.
On the Group Settings page you’ll default to Basics. Scroll down the page and you’ll see a place to upload your Constitution.
On the Contact Information tab you can add an email address. If you do, the next time you send an email from your group you’ll be able to choose whether you are sending it from yourself or on behalf of the group! You can add your social media links in the Social Networks tab.
