Org End of Year Transition, Re-Recognition Information

Summary:

  • Student groups: start your elections and officer transitions now
  • Annual Re-Recognition begins on April 17th. Embark will close until groups complete their Recognition form with new officer information for the 2024-2025 year. 
  • Important dates and deadlines for Ways & Means, Blanchard 108 storage, and ERF submissions are below.
  • Take advantage of our sessions to help you wrap up your year!
 

Hello Group Leaders,

We are reaching out today from the Office of Student Involvement to flag some important upcoming dates and information for student organizations. Please read the entire email, as it contains information about Re-Recognition that will impact your ability to use Embark.  

What to do now:

  • Hold Officer elections & plan transitions
  • Complete needed tasks on the Student Org Transition Checklist 
  • Complete your Re-Registration form once it opens on April 17th 
    • This process will update your group officers
    • Update members

Important Dates!

April 5th, 2pm, Great Room Student Org Advisory Council meeting about end-of-year tasks and a chance to win $50 in programming money!
April 8th, 7pm, Blanchard 227 Leadership Transfer/ Org. Re-Recognition Workshop with the Student Involvement Consultants
April 14th, noon Ways & Means Annual (academic year 2024 - 2025,) Club Sports, Fall 2024 Semester and September Funding Deadline.  
April 16th, 11:55pm Last day to submit an ERF for the semester
April 17th, 8am Registration Form for the Re-Recognition process opens
May 1 Mandatory audits with the SGA Business Office
May 1 Clean-Up Day for groups with storage in Blanchard 108.
 

Officer Transition

Please consider completing elections and officer transition before the Registration Form for Re-Recognition opens on April 17th. You must add your new officers to your Embark group’s Registration Form so that your incoming officers receive important information about Re-Recognition, training, funding, the Involvement Fair, and more. Please refer to our RSO Officer Transition Checklist for guidance.

New Organizations

If your group was approved this spring, you can go over the Re-Recognition requirements with the Student Involvement Consultants when you meet with them. If your group was approved in the fall we strongly encourage you to do the same, as it will be the first time you've gone through the process.

Re-Recognition

The Re-Recognition process kicks off on April 17th. At that time the Registration form for next year will open in Embark - please plan to complete the Registration Form with new officer information before leaving campus. Starting on April 17th you will not be able to access your group’s functionality within Embark until the form is completed - including payments and reimbursements - so make sure that you complete the form promptly. 

Other requirements and training information will be communicated in the summer.

Student Organization Advisory Council

The SOAC is a group of organization leaders who come together twice a semester to discuss organization business, issues, hear from Student Involvement staff about upcoming changes to policies, etc. We believe this is an important step in ensuring that organizations remain connected to the Office of Student Involvement and an opportunity for OSI to make sure we're meeting the needs of our student organizations. We will be talking about officer and org transition at our upcoming meeting on April 5th, and it is a great opportunity to learn about how to wrap up your end-of-year tasks, ask questions about the Re-Recognition process, and set your group up for success for next year.

Blanchard 108 Storage Clean-Up

There will be a clean-up day (cleaning supplies provided) on May 1st; RSVP here. This is mandatory for groups with Blanchard 108 storage space, and there will be a student working to help answer questions and take attendance/inventory. If your group needs to schedule a different time, email the Involvement Consultants.  

Groups utilizing Blanchard 108 cabinet space can have a maximum of 2 storage totes (or equivalent). Boxes and bins must be labeled and stored within a cabinet - not the floor. If your group’s items are too large to fit, please contact the office for approval. Posters may be stored in the back corner. Items that exceed the storage limit may be discarded. Prohibited items will be discarded.
