Spring Info for RSOs

Jaime DeCaro - Wednesday, January 14
 Orgs

Hello student group leaders!

We at the Office of Student Involvement are writing to share some important updates. We hope you are having a restful and rejuvenating break, and are excited to welcome you all back on campus!

Involvement Fair

The Spring Involvement Fair will be held Sunday, February 1st, from 2 PM - 4 PM in Chapin Auditorium. If your group would like to have a table at the Fair, please fill out the registration form by 8 PM on Wednesday, January 28th.

Involvement Consultants

The Student Involvement Consultants support student organizations and offer sessions and workshops focused on training, reflection, and skill-building. This spring they will be hosting cohort discussions - a chance for groups with similar missions to come together to discuss challenges and strategies and to share ideas. They will begin contacting cohort groups and sharing drop-in hours in early February. Questions? Email them at involvement-consultants@mtholyoke.edu.

Event Accessibility Communication

We require RSOs to include accessibility information in Embark event descriptions. This video will guide you through the process.

The title slide of the video depicts an illustration of a paper airplane and flowers on a blue gradient background. It reads "Embark Training Videos" in white text and "Accessibility Descriptions" in yellow text.

Did your org transition officers?

For new Presidents/Chairs:

New Presidents/Chairs should take the two training modules found on our training page: RSO 101 and RSO Policies. Quizzes must be completed with a 100% score.

Travel: Travel requests must be made 4 weeks in advance. Documentation and training with the Associate Director are required once a year if a group wants to travel more than 50 miles from the College and/or make an overnight trip. Any driver(s) will need to be certified through Fleet Services.

The Involvement Consultants are reviewing Constitutions. When they email your group with feedback, please respond promptly.

For new Treasurers or Authorized Signers

Financial training: New authorized signers should complete the linked Ways & Means and the Business Office trainings with a 100% score.

The SGA Business Office will open January 26th through February 6th for limited hours. A  permanent schedule will be communicated the following week.
Reminder: The Ways & Means deadline for March funding is February 8th. They will send out a reminder to Authorized Signers this week.

For Social Chairs / Event Planners

Event planners should view the Event Training presentation. Groups that plan to host complex events (conferences, cultural shows, parties, concerts) will receive additional support and guidance specific to their proposed event from OSI pro staff.

Audition criteria are required for groups that hold auditions for membership or participation in event performances. This document can live in your group’s constitution but should also be available to share with students auditioning with your group.

Functional Advisors

Student Involvement serves as the functional advisors for all RSOs, providing guidance, support, and training on policies, events, finances, and logistics. We are here to support you, so please reach out if you need any help with officer transition, event and financial planning, elections, and so much more.

Spark & Lead Workshop Series!

It is a year-long set of learning and social opportunities designed for student organizations and interest groups. Our tagline says it best:

Igniting ideas, powering what comes next.

This series is all about helping your RSO thrive: building your leadership skills, creating stronger connections across campus, and giving you practical tools to take your group to the next level. Each month has a theme, with workshops, socials, and advising opportunities to match.

Here’s a look at what’s ahead this semester. Additional events will be added in February!

  • February – Creative Solutions Month - events are being finalized; check back soon!
  • March – Project Month
  • April – Celebration & Reflection Month

MHC After Dark

Have an idea? We have the funding! MHC After Dark is a series of late-night (10pm - 12am) substance-free events that are meant to engage students after other campus events have ended. This initiative, which is brought to you by Student Engagement and Be Well, will provide your organization with everything you need to put on your program. Apply to host an event in the spring!

Please be in touch with questions, ideas, and feedback - student-involvement@mtholyoke.edu.

Best,
Jaime DeCaro
Associate Director of Student Involvement
