Dear [FIRST_NAME],
We are writing today to inform you of some recent changes within the FPSA E-board.
As of this past week, Laura Mutti-Montigney has decided to step down from the social chair position and instead focus her energies on fund-raising for the FPSA group fund. Additionally, and in light of this news, our current commuter Senator (Monica Lamberti) has decided that she would like to transition to the newly vacant Co-Social Chair position to collaborate with Terice Kelley in planning and implementing all social functions for the remainder of academic year. This means that there will be a newly open position on the board (Commuter Senator) and we will be looking to fill this role in the coming weeks. If you are interested in hearing more about what the responsibilities of the Commuter Senator are, please reply to this email and we will respond with more detailed information.
To give a little background on some of the reasoning behind this transition you should know that...
There are currently two ways that we, as a student org, are able to fund activities and events for the FPSA. One of them is through Ways and Means funding which is the large pot of money that is accumulated through the "student activities" fee every student pays each year as part of their college bill. The other avenue is through an account known as "group funds", which each org has. The money in this group funds account is partially allotted by student activities, but mostly raised through fundraising the FPSA does throughout each academic year. At the beginning of this year we had $720 in our group fund account, and have since used roughly $240 of it on the FPSA sponsored social activities offered to you all throughout this semester.
Although you may not be aware of the day to day business of running the FPSA, one of the intricacies involved in applying for funding through Ways and Means is that there are a limited number of specific events which the SGA (which focuses on allotting money for student activities through the Ways and Means Committee) will fund for student org. each semester. Typically they are 1 bonding event, 1 appreciation event, some funds to partly cover the fees for guest speakers, buy promotional items, supplies to run the org, and a small amount of money for advertising costs. To access ways and means funding, the FPSA must create very detailed budget with proof of potential costs for each expense (invoice, etc) for each line item and wait for approval on those items. The Ways and Means committee of the SGA has the authority to accept the budget as is and fund the entirety of and event, partially accept the budget proposal and provide partial funding, or deny the request altogether. When we are given partial funding, or are denied, we then supplement activities through out group fund account, which the FPSA E-board has the discretion to decide how and when it will be used.
We say all of this to say that because we cannot always count on full funding through Ways and Means, having a person dedicated to fundraising is something that we will certainly benefit from.
Therefore, we are very grateful to Laura for volunteering spearhead a fundraising initiative during out annual Holiday Party this year (see weekly newsletter for details), and if she so chooses, hope she will continue with more fundraising initiatives in the Spring semester.
Additionally, we are also so very grateful for Monica for choosing to transition to the co-social chair Position to collaborate with Terice and use her strong organizational, communication, and flyer making skills in service of bringing the FPSA many wonderful opportunities for social connection and fun in the remaining months of this academic year. This change will most certainly be a positive reconfiguration which will benefit the entire FPSA and ensure our financial and social health and wellbeing. From the bottom of our hearts, we thank you both for stepping into these roles to share your unique skill sets in forward thinking and wonderful ways!!
Lastly, again, if there is anyone who is interested in joining the FPSA E-board by taking on the role of Commuter Senator, please reach out to indicate your interest and we will set up a time to meet with you.
Sincerely yours in service,
The FPSA E-Baord
