Roommate Agreements, Room Condition Forms, and Guest Registration

Hello Residents:
 

We hope the spring semester is off to a great start for each of you! I know some of you are living with new roommates this semester, or maybe you are living with the same roommate from the fall semester. Either way, it is the time when we ask those of you with roommates to speak with one another about how you would like to live together or to review how things went in the past semester and review your roommate agreements.
 

We have created a roommate agreement template that outlines some areas where roommates might find themselves in conflict. We ask that you read the agreement, reflect on your own responses to the questions, and then work with your roommate(s) to discuss these questions and complete one form together. 

  • If this is your or your roommate’s first semester on campus, you are required to complete a roommate agreement with your RA’s support. Your RA will have a printed copy for you.

  • If you’re living with a new roommate this semester, even if it is not your first semester on campus, you are required to complete the roommate agreement with your roommate. Your RA will have a printed copy for you.

  • If you’re living with the same roommate as last semester, we strongly encourage you to review and reassess your agreements. What worked well, what didn’t, and what might change this semester?

  • If you’re living in a single you do not need to complete this form. 

 

After this conversation with your roommate, we ask that you submit this brief form no later than Friday, February 7, 2025. For all incoming students (springies), please know you must fill this out WITH your RA/RF, so please reach out to them and schedule a time to do this. If you are nervous about bringing something up with your roommate, you can also ask your RA/RF for advice beforehand and they can coach you through learning some new conflict resolution and communication skills.
 

Completing a roommate agreement is intended to help you all get to know each other and facilitate conversation about your wants, needs, and hopes for your shared space. Disagreement and conflict can be normal parts of living together. If you have trouble coming to any kind of agreement, please seek out your RA or Residential Fellow — they are there to support you at any point in the process.

 

Finally, please remember that this document is a living document, meaning it can be revisited and changed as needed. It is great to schedule time later in the semester to continue these conversations and check in to see how these agreements are working. 

 

Room Condition Form 

 

For those that moved back onto campus or moved into a new room. Please be sure to complete a room condition form in Residence by Sunday, February 9 2025. The form gives you a chance to assess the conditions and contents of your room/suite/apartment, thus safe-guarding you from being held responsible for pre-existing damages or missing furniture when you move out.

 

To find the room condition form in Residence, click on More > Room Condition > Edit (next to your current housing assignment). There is even an attachments tab if you need to add pictures.

 

 

Guest Registration 

To host a guest you must….

  • Get your roommate’s permission!

  • Register them at this form (Password: 1837)

  • Student ID is your MHC ID number minus the first and last digit. You can find your MHC ID on your OneCard.

  • Escort guests when moving between floors, buildings, or campus (Ex: you will walk your guest to the bathroom upstairs, but you don’t need to escort them to a bathroom on your floor)


Reminder: The maximum amount of time any one guest can stay is sixteen nights total per semester, and no more than one consecutive week (7 days) at a time. Overnight Guest is someone on campus between 2:00am-6:00am. For more information about the Guest Policy you can review the Student Handbook or the Residential Life Policies.
